What is personal data?

The term “Personal Data” means any information relating to you that identifies you, or through which you can be identified, directly or indirectly. How do we collect information from you?

We obtain information about you when you use our website, email us, or call us to enquire about our products and services, or if you register to receive one of our newsletters. We also collect information about you when attending industry-specific exhibitions, events and through networking. 

We do not react to Do Not Track (DNT) signals, as any details captured are for the sole purpose of enquiring about, or signing up for, the Patchworks Integration Platform as a Service.

What type of information is collected from you?

The personal information, other than business information, that we collect might include your name, address, email address, IP address, and information regarding what pages are accessed and when.

Sharing your personal information 

We will not share your information with 3rd parties for marketing purposes.

However, we may pass some information to our third-party service providers, agents, subcontractors and other associated organisations for the purposes of completing tasks and providing services to you on our behalf (for example to process products and to keep you informed).

When we use third-party service providers, we disclose only the personal information that is necessary to deliver the service, and we have a contract in place that requires them to keep your information secure and not to use it for their own direct marketing purposes. Please be reassured that we will not release your information to third parties beyond the Patchworks Network, unless you have requested us to do so, or we are required to do so by law, for example, by a court order or for the purposes of prevention of fraud or other crime.

  • We may transfer your personal information to a third party as part of a sale of some or all of our business and assets to any third party or as part of any business restructuring or reorganisation, or if we’re under a duty to disclose or share your personal data in order to comply with any legal obligation or to enforce or apply our terms of use or to protect the rights, property or safety of our staff and customers. However, we will take steps with the aim of ensuring that your privacy rights continue to be protected.

Our legal basis for processing your personal information

The UK and EU GDPR (our global standard of compliance) require that a Controller must have a legal basis for processing personal data. In most instances, our legal bases for processing your personal information are:

  2. We have a contractual obligation.
  3. We have a legal obligation.
  4. We have a vital interest.
  5. We need it to perform a public task.
  6. We have a legitimate interest.

Controlling the information that we hold 

You have rights under the data protection legislation and, subject to certain legal exemptions, we must comply when you inform us that you wish to exercise these rights. There is no charge unless your requests are manifestly unfounded or excessive. In such circumstances, we may make a reasonable charge or decline to act on your request. Before we action your request, we may ask you for proof of your identity. Once in receipt of this, we will process the request without undue delay and within one calendar month. You can contact us if you wish to complain about how we collect, store and use your Personal Data. It is our goal to provide the best possible remedy with regard to your complaints. 

However, if you are not satisfied with our answer, you can also contact the relevant competent supervisory authority. In the UK, the relevant supervisory authority is the ICO, contact details of which can be found below.

Your rights in connection with personal data are set out below:

Subject Access Request – You have a right to receive a copy of all the Personal Data we hold about you.

Rectification – If any of the Personal Data we hold about you is incomplete or inaccurate, you have a right to have it corrected. The accuracy of your information is important to us. If you change your email address, or any of the other information we hold is inaccurate or out of date, please email us at: privacy@patchworks.io

Erasure – This is also known as the “right to be forgotten”. You have a right to ask us to delete your Personal Data where there is no good reason for us to continue processing it. However, certain criteria apply, and if we have a legitimate reason to continue processing your personal data, we will not be legally required to delete it.

Objection – You have a right to object where we are relying on legitimate interests as our legal basis for processing your Personal Data, but in certain circumstance,s we may be able to continue with the processing. For example, if we have compelling legitimate grounds which override your interests, rights and freedoms, or your personal data is needed for the establishment, exercise or defence of legal claims. However, you have an absolute right to object to us processing your Personal Data for direct marketing purposes.  

Restriction – You have a right to ask us to restrict the processing of your Personal Data in certain circumstances. For example, you may require us to suspend processing information about you whilst checks are made to ensure it is accurate. 

Portability – You have the right to ask us to transfer any Personal Data you have provided to us to another party, subject to certain criteria being satisfied. We will provide this Personal Data in a structured, commonly used and machine-readable format.

Right to withdraw consent – If you have given us your consent for the processing of your Personal Data, you can withdraw this at any time. Please note, the withdrawal has no effect on the legality of the data processing carried out in the past on the basis of your consent. Keeping your information safe

When you give us personal information, we take steps to ensure that it’s treated securely. Any personal data is encrypted and protected via SSL and secure data storage. When you are on a secure page, a lock icon will appear on the bottom of web browsers such as Microsoft Internet Explorer.

We may store your personal data on Google’s Cloud and in our Portal, CRM, Accounting, Support and Email Service Provider software.

​In addition to the security and compliance policies documented above, Patchworks have UK GDPR-compliant contractual agreements and/or Data Processing Agreements in place with each of our data processing sub-contractors.

Your personal data, such as email addresses, is transmitted normally over the Internet, and this can never be guaranteed to be 100% secure. As a result, while we strive to protect your personal data, we cannot guarantee the security of any information you transmit to us, and you do so at your own risk. Once we receive your information, we make our best efforts to ensure its security on our systems. Where we have given (or where you have chosen) a password which enables you to access certain parts of our websites, you are responsible for keeping this password confidential. We ask you not to share your password with anyone.

We will hold your data for no longer than we need it for, or where the law dictates otherwise.

Patchworks agrees to the individual redress principle, which requires that individuals have a right to pursue legally enforceable rights against Data Collectors and Processors who fail to adhere to the law. This principle requires not only those individuals have enforceable rights against data users but also that individuals have recourse to courts or a government agency to investigate and/or prosecute non-compliance by Data Controllers and/or Processors.

In the unlikely event that we do suffer a data breach, we shall take appropriate action, which may include informing individuals of the breach in accordance with ICO guidelines.

Keeping children safe

Our services are offered to adults over the age of 18. If you are aged 18 or under‚ please get your parent/guardian’s permission beforehand whenever you provide us with personal data.

If we learn that we have collected the personal data of a child under the relevant minimum age without parental consent, we will take steps to delete the information as soon as possible. Profiling

We may analyse your personal information to create a profile of your interests and preferences so that we can contact you with information relevant to you. We may make use of additional information about you when it is available from external sources to help us do this effectively. We may also use your personal data to detect and reduce fraud and credit risk.

This privacy policy applies only to our website, so we encourage you to read the privacy statements on the other websites you visit. Google user account data

Data protection provisions about our Patchworks application and the use of Google user data accounts can be added to our Patchworks application using oAuth authentication. OAuth is a secure mechanism which gives Patchworks access to your Google account data without letting it know your password. We may collect and store your name, email, avatar and Google openId during registration. This data is used solely for providing OAuth login and registration functionality, displaying your name and avatar within our application. This data is not used for any other purposes and will not be shared with any third-party services

Transferring your information outside of the European Union

We operate internationally.  As part of the services offered to you by Patchworks Media Ltd, the information which you provide to us may be transferred to countries outside the European Union (“EU”).

By way of example, this may happen if any of our servers are, from time to time, located in a country outside of the EU. These countries may not have similar data protection laws to the UK. By submitting your personal data, you’re agreeing to this transfer, storing, or processing. If we transfer your information outside of the EU in this way, we will take steps to ensure that appropriate security measures are taken with the aim of ensuring that your privacy rights continue to be protected as outlined in this Policy.

If you use our services while you are outside the EU, your information may be transferred outside the EU in order to provide you with those services.
